Responsibilities
  • Shall be responsible for ensuring the maintenance and dissemination of University records and registers, manage the registrations and verify data for furnishing certificates of undergraduates and graduates.

  • Shall work closely with faculty and other academic administrators in developing explaining, and enforcing academic policies. In addition, he/she shall collaborate with other administrative officers to serve students and faculty.

  • Shall provide quality student service, in the area of registration and academic records, and ensure the confidentiality and accuracy of student records.

  • Coordinate the Student Information System

  • Conduct Pre-registration, Completion, Registration and Drop / Add • Coordinate the Student Information System across the University

  • Ensure compliance with Student Records Policy

  • Record transfer credit, advanced placement, study abroad work

  • Assign operator security profiles to Student Records users and monitor the system to prevent unauthorized access to computer records.

  • Shall ensure an atmosphere conducive to academic activity by producing timely and accurate statistics, class rosters, grades certifications and other reports:.

  • Produce official student lists, reports, statistics

  • Publish the Student Directory

  • Validate ID cards

  • Prepare statistical reports from Student Information System

  • Certify student enrolment

  • Generate ad hoc lists, labels, statistics from Student Information System

  • Process ID number changes, changes of school, name and address

  • Interpret & enforce academic regulations

  • Collect grades from the Office of the Dean Assessment and Evaluation

  • Monitor list of graduates

  • Ordering diplomas from tentative lists prepared by the Deans

  • Assist in the organization of student participation in Convocation.
